JOB DESCRIPTION



Seeking a part-time personal assistant for a private individual in New York City. The applicant must display highly efficient and effective organizational skills, demonstrate excellent attention to detail, the ability to multitask, and utmost discretion. You will represent the employer in a few different areas including dealing with tenants, employees with the employer’s business, etc. You must be able to interact with people in a professional manner and exercise good judgment at all times. Also, you must maintain the highest degree of confidentiality.

You must have the mindset of being an advocate who is trying to represent your employer in the best possible light and maintain the highest degree of confidentiality at all times.



POSITION SPECIFICS



• 15 - 20 per hours per week but this may be more or less depending on whether the employer is in NY or abroad (which is about 55% of the time)



ESSENTIAL DUTIES AND RESPONSIBILITIES



• Manage calendar/appointments

• Draft documents and correspondence (proofreading, editing, and composition)

• Internet Research

• Event planning

Keep an accurate ledger of funds received from employer and disburse as instructed to household staff and others

Familiarity with online bill payment is essential and part of the job

Maintain a working relationship with building personnel and communicate and resolve problems for the employer’s residence as well as for 2 tenants.

Gather mail at least twice per week, throw out junk mail, make certain bills get paid, and save statements in employer’s business office in midtown.

Scan important mail when employer is abroad and email them.

Make sure that employer’s residence is in good repair and that cpu, cable, heat or a/c are all in good working order.







JOB REQUIREMENTS



• Excellent organizational ability and time management skills; able to meet deadlines

• Strong verbal and written communication skills, with flawless spelling and grammar

• Handle confidential matters and information in a discreet and professional manner at all times

• Good research skills

• Computer literacy using MS Office, Excel and Internet Explorer is essential;

You must also have at least a cursory knowledge of setting up and troubleshooting cpu problems before calling in professional help



EXPERIENCE



• +5 years work experience as a personal or administrative assistant
